Tailored workflows.
AI in your business.

We design and implement workflows around each business. We introduce models and agents where they are useful, and train teams to work with them thoughtfully.

01 / What we do

Three ways to work with your business.

We start with the team’s work: what they need, how they do it and what they want to change.

01

Workflow improvement and implementation

We understand the process, remove unnecessary steps and implement the smallest change that solves the problem. It may be a rule, integration, website or small digital product, with no integrated AI where it is not needed.

  • Analysis and design
  • Websites and digital products
  • Integration and follow-up
02

AI tools, models and agents

We introduce tools such as ChatGPT or Claude when they outperform a simpler alternative. We define cases, data, permissions, errors and human review before integrating them.

  • Existing tools and plans
  • Skills and knowledge
  • Agents and human review
03

Applied training

We train the team around a task, a tool, or building and maintaining a digital product. We use a clear structure, reusable skills and practice so the team can become more autonomous.

  • Introduction to AI
  • Guided building with skills
  • Team workshops

02 / Applications

Ways to improve
the work.

Possibilities that adapt to each team’s context.

Selection

Six starting points

These are adaptable possibilities. The order supports exploration; it does not show popularity or proven demand.

6 / 28 applications

01

Document handover gap index

Workflows
Who it helps
Project coordinators and administrators receiving folders or handovers.
Problem
Finding versions and chasing files can be repetitive, and a present document is not always the right one.
What could change
Agree the checklist, naming and an index of present, missing and unclear items. It can work without AI and does not validate professional compliance.
02

Reviewable service reports

Workflows
Who it helps
Field technicians and administrators who complete or review service reports.
Problem
Information is missing, retyped or sent back to the technician before the administrative handover.
What could change
Define a small set of required fields, validate them and export a reviewable report from the existing tool. It does not invoice or certify the work.
03

Applied AI training for one task

Training
Who it helps
Small teams using AI tools to draft, summarise or consult information.
Problem
A convincing answer may be produced without checking sources, spotting errors or knowing when to stop.
What could change
Practise a realistic task, detect an error and repeat it with a rubric until the team can work independently.
04

Request to draft order

Workflows
Who it helps
Sales administrators turning requests into catalogue lines.
Problem
Ambiguous references, units or substitutions can carry errors into the warehouse.
What could change
Use a template and versioned master data to prepare lines and questions for review. Try the ERP import first; use AI only if it improves free text.
05

Consistent product master

Workflows
Who it helps
Catalogue, sales and operations teams maintaining references and variants.
Problem
Spreadsheets, point-of-sale systems and websites may disagree on codes, units or variants.
What could change
Name one master source, validate anomalies and propose traceable corrections. No automatic merging or stock changes.
06

Receiving discrepancies

Workflows
Who it helps
Warehouse and purchasing teams comparing orders, delivery notes and counts.
Problem
Partial deliveries, different units or counts can be confused before receipt is closed.
What could change
Create an exception queue with an owner and agreed criteria. It does not update stock or automatically accept quality.
07

Findable dispatch evidence

Workflows
Who it helps
Transport administrators and operations teams looking for shipment evidence.
Problem
Evidence may exist without being linked to the correct shipment.
What could change
Link the shipment ID to its document and flag missing evidence. Signatures and disputes remain under human judgement.
08

Administrative job intake

Workflows
Who it helps
Reception and coordination teams preparing a service or project to begin.
Problem
Work may begin without minimum data, permission or a clear owner.
What could change
Use a checklist and templates within the current vertical tool or channel. It does not replace professional judgement.
09

Resources for sessions and activities

Workflows
Who it helps
Coordinators of training centres, activities and non-clinical spaces.
Problem
Schedules, capacity and resources may conflict before a session is confirmed.
What could change
Make conflicts visible with agreed rules and a shared calendar. It does not assign clinical professionals.
10

Pending quote to next action

Workflows
Who it helps
Sales teams and managers reviewing open proposals.
Problem
A proposal may be left without a visible decision, date or next step.
What could change
Use the calendar or CRM to create a queue of decisions and owners. It does not promise sales or send commitments.
11

Approved version of a sample or asset

Workflows
Who it helps
Production, design and project teams working through review rounds.
Problem
Scattered comments and similar names can make the current version unclear.
What could change
Keep one version and an explicit approval record. It does not judge aesthetics, rights or compliance.
12

Training on an existing tool

Training
Who it helps
Operators using only part of an available calendar, management system, POS or LMS.
Problem
A paid-for feature does not solve the task because configuration or end-to-end practice is missing.
What could change
Configure the minimum, practise an exception and leave a short guide. The manual or vendor support may be enough.
13

A useful website or digital product

Workflows
Who it helps
Companies and teams that need a website, form or simple digital tool to solve a specific task.
Problem
The journey may be confusing, inaccessible or hard to maintain, or current tools may not fit the actual work.
What could change
Define the goal, simplify the journey and build or configure the smallest useful piece with keyboard, mobile and usability checks. It can work without integrated AI and does not imply accessibility certification.
14

Guided digital product building

Training
Who it helps
Teams that want greater autonomy to create, change or maintain a website or digital product.
Problem
Without a clear structure, every change depends on someone else or gets published without shared criteria and checks.
What could change
Work through a bounded case with reusable steps, skills, testing and rollback until the team can make a new change. This is not accreditation and does not guarantee autonomy without practice.
15

Explicit decisions on scope changes

Workflows
Who it helps
Project leads receiving client or scope changes.
Problem
A change may proceed without a recorded version, impact or acceptance.
What could change
Record the request, impact and pending or accepted decision. The client retains contractual and commercial judgement.
16

Team AI workspace

Tools and AI
Who it helps
Teams that want to structure their use of ChatGPT, Claude or similar tools.
Problem
People may use different cases, data and criteria without knowing what works.
What could change
Select tasks, instructions, permissions and review against a comparator. The final decision may also be not to use AI.
17

An autonomous process owner

Training
Who it helps
Owners who need to maintain a workflow after implementation.
Problem
Every small field, rule or incident may continue to depend on the implementer.
What could change
Practise diagnosis, a small change, testing and rollback with documentation. It only makes sense after a workflow has been tested.
18

Group enquiry to event proposal

Workflows
Who it helps
Reservations teams and managers in hotels, hospitality and activities.
Problem
Dates, people, services and constraints arrive incomplete and create repeated clarification.
What could change
Collect a structured brief and prepare a proposal for review. It does not promise availability or automatically resolve allergens.
19

Shift handover with accepted open items

Workflows
Who it helps
Shift-based teams in operations, accommodation or hospitality.
Problem
Open tasks and incidents may lose their owner or context between shifts.
What could change
Record status, open items, owner and acknowledgement in the current system. It does not triage emergencies.
20

Non-urgent issue with ownership and closure

Workflows
Who it helps
Property and service administrators receiving non-urgent issues.
Problem
A report may be left without an owner, status or evidence of closure.
What could change
Centralise minimum location, owner, status and closure. Urgent cases must be separated before testing.
21

Comparable non-critical purchases

Workflows
Who it helps
Purchasing and administration teams comparing offers before human approval.
Problem
Prices, lead times and exclusions may look comparable when the underlying terms are not.
What could change
Prepare a normalised table with questions and exclusions. It does not award, order or pay.
22

Evidence for a social project

Workflows
Who it helps
Organisation coordinators linking activities, budgets and supporting evidence.
Problem
Evidence of spending and activity may be scattered across folders and owners.
What could change
Create an evidence matrix and list gaps for review. It does not guarantee that spending is eligible.
23

Prepared and confirmed non-clinical appointment

Workflows
Who it helps
Reception teams in personal services, maintenance and non-clinical wellbeing.
Problem
Duration, resource and confirmation may not match the service type.
What could change
Configure the existing calendar, service types and human confirmation. It does not make clinical decisions.
24

Campaign operation to reviewable record

Workflows
Who it helps
Farm owners and cooperatives recording field operations.
Problem
Date, plot, lot or declared operation may be left incomplete.
What could change
Structure the minimum record and flag missing fields. It does not invent treatments or replace agronomic judgement.
25

Consistent consumption and invoices

Workflows
Who it helps
Administration and facilities teams reviewing periods, readings and amounts.
Problem
Different periods or units can hide discrepancies between consumption and invoices.
What could change
Prepare a descriptive reconciliation and a list of questions. It does not promise savings or change installations.
26

Assisted triage in shadow mode

Tools and AI
Who it helps
Service teams classifying text requests with a stable taxonomy.
Problem
Ambiguous text needs review, while a wrong route can have consequences.
What could change
Let the model only suggest a category, fields or abstention for a person to decide. Improve forms and rules first.
27

Internal answer with a source

Tools and AI
Who it helps
Teams consulting approved procedures or internal knowledge.
Problem
The right answer can be hard to find, and an obsolete document may look current.
What could change
Start with an index and search; if that is not enough, answer with a source or escalate. It needs governed content, permissions and abstention.
28

Links between lots and movements

Workflows
Who it helps
Food operations and logistics teams linking receipt, transformation and dispatch.
Problem
A missing ID or incomplete link can break documentary traceability.
What could change
Flag links and gaps in a read-only trial with a specialist. It does not authorise product release or sale.

03 / How we work

Understand first.
Then implement.

We simplify first and make the most of existing tools. We integrate AI only when it adds net value; many solutions work without integrated AI.

  1. 01Understand
  2. 02Simplify
  3. 03Reuse
  4. 04Test
  5. 05Measure
  6. 06Transfer
01

Understand

We listen to the team and observe the actual process: its steps, exceptions and intended outcome.

02

Simplify

We remove unnecessary steps, clarify handovers and agree on criteria and owners.

03

Reuse

We test the tools the team already has first and compare a manual improvement, configuration, integration or custom component.

04

Test

We prepare a focused trial with representative cases, boundaries, an owner and a route back to the previous workflow.

05

Measure

We compare before and after: total time, errors, exceptions, review, maintenance and unintended effects.

06

Transfer

We document, train the team and leave instructions, access, exports and an agreed exit so the business keeps autonomy.

04 / The studio

From architecture
to workflows.

I’m Alex, an architecture student and the founder of ARTAZCOZ. In conversations with businesses, I saw teams spending many hours on manual tasks, information handovers and tools that did not quite work together.

Those conversations expanded my interest in architecture towards the design of processes and working systems: understanding the parts, organising their relationships and building a solution that works in its context.

ARTAZCOZ grew from that interest. The aim is to help teams work with greater clarity, less repetitive work and less pressure. Through tailored processes, AI models where they add value, and training to use them thoughtfully.

Rigour · Inventiveness · Autonomy
